COVID-19 - Current Status of club meetings

As people have been asking, and other local clubs have made the decision to reopen, herewith an update:

Currently, St. Johns are not in a position where they are willing to re-open to their hire customers (as of their last communication at the beginning of the month). They are not opening for public training courses until the beginning of September.

As and when they let us know otherwise, the committee will make a decision, based on the current Government guidelines (which seem to be covered at least in part by this document) and any restrictions St. Johns place on us, as to how we want to proceed.

I think we have a problem - "At this time, venues should not permit indoor performances, including drama, comedy and music, to take place in front of a live audience."
I think my dice rolling fits into at least one of those categories !!!

Well, it's never seemed particularly dramatic so unless you've invested in some musical dice...

Just had a random thought, next years AGM will probably not happen at St John's, also I don't think anyone is qualified to stand for a committee position (Number of weeks attended, is there a work around in the constitution?).
Do we need an online EGM to extend present committee's tenure?

If not I'll be just as eligible as everyone else 🤔

Actually, this year it's easier to qualify to be on the committee than it is to be able to vote for the committee.

Voting members, defined as per rule 3.1 of the club rules:
QuoteMembership of the club is gained by attending 8 or more meetings in a running year and maintained by attending 1 meeting in each subsequent running year or at the discretion of the committee.

In order to stand for a committee position, as per rule 5.3, a member must:
Quote...have attended at least one half of the meetings held during the past 12 months to be eligible for elections or re-election.

We held 10 meetings this year; anyone who attended at least 8 of them can vote, anyone who attended at least 5 can be elected/re-elected. That's rules-as-written, plus there's committee's discretion written in there so I think we can assume that last year's membership are still valid. So the club rules actually account for this whole mess reasonably well.

As to where/whether we hold an AGM/EGM, that's a whole different issue. Per rule 7.4:

In future we should perhaps add some sort of force majuere clause regarding the Committee and AGM just in case.

So those that attended 8 out of the 10 meetings will have the power to vote those who attended 5 of the meetings onto the committee, without them having a vote to say no! 😀?

Now I'm worried, sounds like a military volunteer system. Is thier many that qualify?

Looking at the rule below, to vote, existing members (so members who could vote at 2020 AGM) only need to attend just 1 meeting! Plus there is a rule on grandad rights (committee discretion) for other previous members. So only new members need the 8 meetings.

You're absolutely right, I misinterpreted the rules. Existing members only need to have attended one meeting, or throw themselves on the mercy of the committee. :grin:

But, we need to sort out the AGM. There are two rules that commit us to having an AGM in January, which seems increasingly unlikely.

Quote5.2     The term of office for each official on the committee will be from the date of their election at the Annual General Meeting until the Annual General Meeting 12 months later.

Quote7.4     The first non-Bank Holiday meeting in January will be an Annual General Meeting.

I'd suggest that we need an EGM to change these rules as follows.

Obviously we can't have a standard EGM at the moment either, so maybe the committee can hold the meeting (so long as there's 6 or less of them) and everyone else can vote by proxy? We had proxy votes at the last EGM. Or hold the EGM on Zoom, with proxy votes? There's nothing in the rules to say that an EGM has to be held on a club night, or has to be a physical meeting, unlike the AGM.

Thanks for the useful insights, especially Rob.

We'll bounce ideas round the committee, but I think as you say a virtual EGM of some sort to amend the club rules to allow us to defer the AGM seems a good approach.

Thinking on this a bit more, there's one more rule we should probably consider changing.

There's a distinct, even likely, possibility that we are going to have to go more than 12 months without a meeting so I'd suggest the following.

It's almost comforting to be able to put my rules-lawyering to a more constructive use than just winning games of Bolt Action. :grin:
